Operations Coordinator, Education & Community Engagement

BAM (Brooklyn Academy of Music) is a home for adventurous artists, audiences, and ideas—engaging both global and local communities with world-renowned programming in theater, dance, music, opera, film, and much more. With an annual operating budget of approximately $50 million —the majority dedicated directly or indirectly to programming—BAM is a leading presenter of emerging and contemporary artists.

The Operations Coordinator, Education & Community Engagement will provide administrative, operational, and programming support to the Education and Community Engagement Division, specifically in marketing and record management.

Essential Duties and Responsibilities

  • Produce and maintain the Comprehensive Summary, including all programming information for the division each upcoming fiscal year
  • Manage Education and Community programming calendar in institutional calendar, ArtsVision, and maintain/make changes as needed
  • Liaise with Marketing and Communications, acting as Education representative for all departmental information 
  • Manage office routings from various departments, proof-reading and editing materials for copy, accuracy, and brand consistency
  • Prioritize and track interoffice routings to ensure all documents are reviewed and/or signed and returned in a timely manner
  • Work with Communications department to produce programs for film-screenings, school-time performances, and culminating events for after-school programs
  • Work with Marketing to produce various creative projects including webpages, study guides, digital assets, printed material, video assets, and more via project management system Workfront
  • Organize and provide needed information and materials both internally and externally to maintain a consistent workflow within the division.
  • Manage internal and external bookings of the Leavitt Workshop as well as workshop organization and storage
  • Manage media assets and archival materials for all programming, providing materials to Marketing and Archives as necessary
  • Develop and maintain systems around Archival processes, including file maintenance—both physical and digital, archival deliverables, and scheduling archival video tapings
  • Work with Box Office to manage complimentary tickets for Education programming by submitting Pass Lists and HABO lists for ticket holds, and releasing tickets as necessary
  • Submit Customer Service Issues on Tessitura to make internal ticket purchases as needed
  • Develop document templates that are used across all programs for branding and consistency
  • Manage departmental orders and hospitality, including catering orders and set-up, for Education programming events including professional development sessions, after-school program culminating events, the BAMkids Film Festival, ancillary DanceAfrica events and more
  • Provide coordination support for departmental programs and events, including specific event checklists and setup, for professional development sessions, school-time programming, after-school program culminating events, Fisher building programming, the BAMkids Film Festival, ancillary DanceAfrica events and more
  • Assist with onboarding and training for interns and new staff members as needed
  • Provide administrative support: word processing, data entry, photocopying, filing, answering phone, collecting statistics, proofreading, drafting minutes, and other duties as assigned

Minimum Qualifications

  • Bachelor's degree or equivalent work experience
  • At least three years of office/administrative experience
  • Strong knowledge of Microsoft Office including Outlook, Work, Excel, and Power Point
  • Strong communication skills, including interpersonal, written, and oral skills

Preferred Qualifications

  • Background in the arts or arts administration and interest in arts education preferred
  • Knowledge of BAM programming and audiences a plus
  • Self-starter with strong organizational skills and attention to detail
  • Ability to prioritize and manage multiple projects efficiently
  • Ability to create and/or modify business processes

Salary: $45,588, eligible for paid overtime.  Comprehensive benefits package including pension.
