Project Manager

Brooklyn Academy of Music (BAM) is a multi-disciplinary arts center located in Brooklyn, New York. For more than 150 years, BAM has been the home for adventurous artists, audiences, and ideasóengaging both global and local communities. With world-renowned programming in theater, dance, music, opera, film, and much more, BAM showcases the work of emerging artists and innovative modern masters.

Brooklyn Academy of Music is currently looking for a Project Manager to support the team in managing the day-to-day operations and planning logistics for any and all events and programs happening internal and external to BAM spaces. The selected candidate will posses strong interpersonal, project management, time management, and organizational skills paired with a flexible, adaptable, and solutions-oriented mindset. Success for this candidate will be defined by their ability to not only adequately support the behind-the-scenes process of planning and executing an event, but also by their ability to develop and cultivate relationships with current and potential new partners and clients which may include outside booking agencies, managers, promoters, and producers in an effort to maximize BAMís rental revenue. The selected candidate will be able to support the team in identifying a better approach to the work that they lead as the new Project Manager. 

BAM administrative staff will be required to show proof of vaccination to enter the buildings as teams transition back to fully in-person operations.

Essential Duties and Responsibilities:

  • Ability to manage budgets, payment tracking, contract drafting and execution, event planning logistics and financial closeout, effective project management, on-site coverage for special projects, and effective communication with stakeholders at all times.
  • Ability to work closely with ALL internal BAM sub-teams to manage operations and ensure streamlined communication and effective planning when leading the execution of BAM events.
  • Prep and facilitate weekly Cross-Department Programming Meetings with other GM staff.
  • Participate in weekly check-in meetings to communicate information, generate feedback, and present ideas for improving the operational functioning of assigned projects.
  • Support BAM's programming teams by providing administrative and event management oversight on produced projects including but not limited to: fully staged theatrical engagements, one-offs, and private workshops.
  • Support BAMís Special Events department by providing operational support for fundraising events, budgeting, and contracting work for any performance-related elements.
  • Guide artists and clients through BAM's policies and procedures and facilitate compliance.
  • Attend dress rehearsals, media calls, and performances as needed
  • Oversee operational plan for external; negotiating deals, managing contracts and budgets while liaising with external vendors and venues for proper and successful execution of events.
    • Some of our external partners include: exclusive caterer Great Performance, exclusive bookseller Greenlight Bookstore, artist representatives, publicists, producers, film studios, bands, guest artists, moderators, etc.) 
  • Respond to rental inquiries and meet with clients and booking partners to showcase venues for events, and maintain client services throughout the event process, including scheduling and attending walk throughs and conference calls.
    • Compile tracking reports showing rental activity, income, etc. as requested 
  • Review and edit all building wide routed material (brochures, press releases, postcards, ads and other print material) for accuracy in assigned areas.
  • Demonstrated commitment to anti-oppression.
  • Experienced in DEI concepts, programs, and initiatives.
  • Must have the ability to comply with NYC COVID-19 vaccination mandate

Required Knowledge, Skills and Abilities:

  • 5 years relevant work experience in the arts or entertainment required.
  • Theatrical producing experience preferred.
  • Excellent computer skills including but not limited to Microsoft Office Suite, Google Suite, Adobe, etc.
  • Experience creating and maintaining large-scale budgets.
  • Experience writing, interpreting and managing contracts.

Physical Requirements: Ability to sit and stand for prolonged periods of time. Ability to lift up to 10 pounds. This role will require movement throughout multiple facilities and venues; minimal local travel may be required. Ability to work evenings and weekends on an as-needed basis. 

COMPENSATION: This position is full-time and a union position that will be paid in accordance with the UAW 2110 Collective Bargaining Agreement on a salary scale between $60,000-$65,000 annually.
